REPORTS TO : PUBLIC RELATIONS MANAGER
GENERAL MISSION
To develop and foster a positive image and relationship between the hotel and the public, i.e. vendors, suppliers, guests, clients and the community.
RESPONSIBILITIES AND MEANS
The P. R. Secretary performs her duties within the framework defined by the chain and hotel norms and by internal rules and regulations.
ADMINISTRATIVE RESPONSIBILITIES
Assists in the maintenance of the mailing list record
Assists in any liaison and internal meetings
Prepares daily press releases and cuts out news clippings
Assists in the distribution of press releases
Assists in compiling monthly guest comments
Attends social events both in-house and outside when required
To file all correspondence and control the filing system of the PR department
Control and maintain a file of journalist/media lists both local and overseas
Control and maintain a file of photographs, slide library, history album, and other relevant documents related to PR activities
Handles appointments and telephone calls for Public Relations Manager
Handles distribution of all the division's mailing, both internal and external
Control of stationery supply for division use
To handle word processor, PC
Handle secretarial and administrative work in the department
RELATIONS
The P. R. Secretary is responsible to the Public Relation Manager
FUNCTIONAL
Coordinate with other divisions/departments to ensure the smooth running operation of the job functions
EXTERNAL
Maintains close contact and rapport with local media and regional trade press
REPLACEMENT AND TEMPORARY MISSION
In her absence, the Public Relation Executive replaces the Secretary
The P.R.Secretary may be called up to undertake activities outside her own area and to publicize hotels other than her own for specific programs
To assist Public Relation Manager in the opening of/or general Public Relation efforts of any other hotels in the group/chain
